Who we are

Retreats and events at Vanaase are organised by Vanaase Kodumajutuse OÜ (registry code 16980615). Varlamov & Varlamova OÜ (registry code 12247935, K. A. Hermanni tn 3-22b, 10121 Tallinn) receives the reservation fee on its behalf. Email tere@vanaase.ee, phone +372 5191 4825.

What you reserve

A place at a Vanaase retreat or other event, with the dates and price given for the event on vanaase.ee. The events take place at Vanaase, in Hindsa village, Setomaa.

Reservation fee and payment

Your place is confirmed by the reservation fee shown on the reservation page. The fee is part of the event's price: you pay the rest on site at Vanaase. Prices are in euros and include all taxes.

You can pay the reservation fee by card, Apple Pay or Google Pay (SumUp) or by bank link (LHV Pank). You enter your card details and bank login on the payment partner's page — we never see or keep them.

Confirmation

Right after the payment we email you a confirmation and a receipt. If it hasn't arrived within 15 minutes, check your spam folder or write to us. If you asked for an invoice for a company, we send it in a separate email.

If you can't come

The reservation fee is not refunded. You can, however, give your place to someone else or move it to another event — just let us know. The events take place on fixed dates, so the 14-day right of withdrawal does not apply to them (Estonian Law of Obligations Act, § 53 (4)).

If an event is cancelled

If we have to cancel an event, we refund the reservation fee in full or, if you prefer, move your reservation to another event.

Questions and disputes

Write to us — we'll find a solution. If we can't agree, you can turn to the Estonian Consumer Disputes Committee (ttja.ee). Estonian law applies.

Personal data

For your reservation we keep your name, email, phone (if you give it), your notes, the event and number of places, and the payment details (amount, method and status). If you want an invoice for a company, also the company's name, registry code and VAT no. We use them to confirm the reservation, to be in touch with you before the event and for accounting. The IP address is saved with the reservation to prevent abuse.

Only the partners whose services we need for this see the data: SumUp and LHV Pank (payment), Zone Media OÜ (web hosting and email) and Erply Books (accounting: the amount and the reservation number, and the company details if you asked for an invoice). We keep accounting records for the seven years the law requires and delete the rest when it is no longer needed.

You can ask what data we keep about you and ask us to correct or delete it: tere@vanaase.ee. You can complain to the Estonian Data Protection Inspectorate (aki.ee).

The site uses no cookies or visitor counters. Its fonts are loaded from Google Fonts. Only your browser remembers the name, email, phone and company details from the reservation form, until you close the tab.
